Entry-Level Administrative Assistant

This candidate executes a variety of Internet and office tasks and uses word processing, spreadsheet and other computer programs.  Duties also include answering and replying to telephone calls, emails and other.  Other duties include filing and data entry. Aids with excessive work from administrative and executive assistants and can handle duties of the office receptionist as needed.

Administrative Assistant

This candidate executes administrative and office procedures for all supervisors. Responsibilities can include answering telephone calls, setting appointments, word processing, filing, and faxing. Wide-ranging software and computer abilities are necessary as well as Internet research skills and excellent communication abilities.

Senior Administrative Assistant

Responsibilities of this candidate include the above for administrative assistant but require additional experience performing above duties.  Assists senior-level managers and can oversee other staff. An advanced computer skill with the ability to train others in system usage is recommended.

Executive Assistant

This candidate has experience in assisting executives.  Duties include but are not limited to answering and screening calls, making travel and meeting arrangements, organizing and finishing reports and financial data, training and supervising other staff and must have excellent customer relations. Candidate will have strong computer and Internet research abilities, excellent people skills, project management experience and the ability to work well with internal management and employees as well as external clients and vendors.

Office/Facilities Manager

This candidate organizes various office administration services including facilities management. Requires excellent communication skills and some accounting familiarity. Includes supervision of office administrative staff.

Senior Office/Facilities Manager

Duties of this candidate include those depicted for office manager but involve more established experience and management skills. Responsibilities include choosing merchants and overseeing purchasing procedures, directing all facility staff and scheduling regular building safety checks (OSHA) and training for staff. Strong communication and staff management skills are necessary as well as familiarity with accounting and bookkeeping.

Human Resources Assistant

This candidate’s duties include screening telephone calls, scheduling interviews, researching the Internet to locate potential job candidates, scanning resumes, assisting with planning new employee orientations and maintaining employee database records. Strong computer skills required, as well as sensitivity to confidential matters.

Project Assistant

This candidate assists project managers who oversee multiple tasks correlating to construction, real estate development or manufacturing. Advanced Microsoft Office skills required, particularly Access, Excel and Project. Must be able to retain precise information and be detail oriented.

Document Control Clerk

This candidate’s responsibilities include controlling the incoming and outgoing documentation process and maintaining files and project reports. Also may direct orders as well as organizes and tracks shipping orders.

Front Desk

This candidate manages the company’s greeting area. Meets and guides all visitors, vendors, clients, prospective employees and customers to their proper destinations. Assures completion of paperwork, check in and security procedures. Deals with unique managerial assignments as well as spill over work from department and executive assistants.
